“We/Us” means On the Beating Travel Limited
“The Event” means any holiday, accommodation, activity, meal or function organised or advertised by us.
“You” means the person who has signed the booking form and includes all the people who are signed on your behalf.
“Supplier” means any company or operator providing or holding an event, accommodation, acitivty, meal or function.
“Price” means the whole cost of our advertised trip.
1. Terms & Conditions
The terms & conditions detailed herein contain the entire contract between you and us. No representation, term, warranty or condition can be expressed or implied by reference to any other writing, advertisement or conversation. This contract may only be varied in writing by a director of On the Beating Travel.
2. Formation of Contract
No contract arises shall arise between you and us until receipt of the deposit payable at the time of booking and written confirmation has been sent of our acceptance of the booking in question.
3. Your details
For us to confirm travel arrangements with our suppliers you must provide all requested details at the time of booking. Details include but are not limited to your full name as per passport, date of birth, nationality, and any pre-existing medical conditions which may affect your travel arrangements. Only those over the age of 21 are eligible to join our trips.
4. Lead name
In cases of group bookings, it is possible to use a lead name. The lead name accepts full responsibility for paying all deposits and instalments. Indemnity is granted to On the Beating Travel against any loss incurred by the lead name should a group member fail to pay. The lead name shall notify all group members they are bound by these terms and conditions.
5. Payments & Deposits
Deposits are non-refundable and non-transferable. The balance of the trip must be paid by you no later than 45 days before the commencement date. If no payment is made by the due date then it is assumed by us that you have cancelled and clause 6 below will be initiated. If the booking is made within 45 days of the commencement date then the entire outstanding balance is due at the time of booking. Stage payments can be made via a credit card, debit card, or bank transfer whereby upon receipt we will book on your behalf at the quoted price. However, this cannot be guaranteed and you will be notified if a price change has occurred. Structure of stage payments can be found below.

6. Cancellation by Us
On the Beating Travel reserves the right to cancel or modify the booking at any time in accordance with operating requirements or circumstances beyond our control. If either the cancellation or change is due to force majeure (i.e. political unrest, natural disasters, adverse weather conditions, health risk, or similar events beyond our control) we will refund you in full less the cost of the event ticket or you may use any monies paid towards another trip we offer. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance excess or non-refundable flights.
7. Cancellation by You
If you cancel some or all portions of your booking, cancellation fees will apply. A cancellation will only be effective when we receive written confirmation of the cancellation. If you cancel a trip, you will be responsible for the below amounts according to when you give us written confirmation of cancellation.
90+ days before 25% but can be transferred towards another trip of similar or greater value
Less than 60 days 75%
Less than 45 days 100%
8. Failure to provide an event
If due to reasons beyond or control an event is unable to take place, we will refund you the price of the festival tickets. These include but are not limited to force majeure, closure of premises, ceasing of trading, and changes in supplier management. All other elements of your package are not subject to a refund and you may use any monies paid towards another trip we offer.

All accommodation as listed on the website
All transportation as listed on the website
All tickets for events as listed on the website
All activities and meals as listed on the website
The concierge service of On the Beating Travel
International or domestic flights unless otherwise specified
Airport transfers, taxes and excess baggage charges unless otherwise specified
Meals other than those specified on the website
Visa and passport fees
Activities outside of those specified on the website
All personal expenses
11. Alterations & Surcharges applied by Us
If due to circumstances beyond our control deems it necessary to use an alternative supplier or make other alterations to the trip we will notify you as soon as possible. In cases when surcharges apply due to the size of the group, we reserve the right to cancel the trip. Alternatives will be offered of equal or greater value. This greater value will be the difference paid by you. Due to the nature of this type of travel flexibility is required and we will do our utmost to ensure your expectations are met. The itinerary for each trip is representative of the type of trip expected. However, schedules, amenities and modes of transport may be subject to alterations without prior notice due to uncontrollable circumstances.
12. Alterations made by You
If after your booking has been confirmed, you wish to make any reasonable changes we shall attempt to accommodate them. Alterations and amendments should be made with us directly subject to availability and are only deemed accepted once confirmed by us in writing. Alterations are accepted until 60 days prior to commencement are free of charge except where we incur a charge from a supplier. Amendments after 60 days incur a £50 per person administration charge. Changes to arrival/departure dates and destination are subject to our administration charge. If you wish to transfer the booking to another person you must notify us at 45 days before commencement. Transfers are subject to our administration charge. If you notify us less than 45 days prior to commencement the refund policy applicable to cancellation by you will apply. Only transferees that meet all the requirements in relation to the trip will be accepted and must be approved by us.
13. Our obligations
On the Beating Travel acts only as an agent for various independent suppliers that provide but not limited to accommodation, transportation, activities, events, or other services connected with a tour. Such services are subject to the terms and conditions of those suppliers. We and our respective agents, employees, representatives, and assigns accept no liability whatsoever for any injury, damage, loss, accident, delay, or any other incident which may be caused by the negligence, defect, default of any company or person in performing the services. All services and accommodations are subject to the laws and regulations of the country in which they are provided. We are also not responsible for any expenses or losses incurred from any incident but not limited to those stipulated in clause 14.
14. Your Obligations
You shall at all times behave in a safe, responsible and courteous manner. Comply with all instructions, regulations, and codes of safe working practice issued by us or our suppliers. Immediate termination may occur in cases where it is reasonably deemed by us or our suppliers that you are engaged in dangerous or illegal activity. If you breach any of these obligations, we reserve the right to cancel your trip and you shall not be entitled to a refund. Refer to clause 15 below for required insurance should this arise.
15. Travel insurance
Travel insurance is compulsory for any trip offered by us. Your travel insurance must provide cover against but not limited to personal accident, death, medical expenses and emergency repatriation. We strongly suggest that you are covered for cancellations, curtailment, personal liability and loss of personal effects/luggage. You must provide proof of your travel insurance prior to the commencement date of the trip. Failure to do so may result in cancellation by you.
16. Claims & Complaints
If you have a complaint during the trip please inform the trip concierge and we will attempt to rectify the matter in question. If satisfaction is not met through these means, then all further complaints should be put to us in writing within 14 days of the end of the trip. No claims or complaints will be accepted outside of this time frame. We take your feedback extremely seriously and we will deal with every issue as quickly as possible.
17. Publishing consent
You consent to us using images or video of you taken during the trip for advertising and marketing purposes in any medium we choose. Images or video of you shall only to be used for these purposes by us. You grant us in perpetuity a royalty-free, worldwide, and irrevocable license to use such media for publicity and promotional purposes undertaken by us.
No part of this agreement shall confer on any third party any benefit or right to enforce any terms of this agreement.
You agree to indemnify On the Beating Travel, our suppliers, directors, employees, agents, and service providers from and against all losses, liabilities, costs, damages, claims, of every kind and nature, to the fullest extent permitted by law arising from or relating in any way to;
i)Your use of the website
ii)The products and services purchased through the website
iii)Any liabilities, claims, damages and injuries arising from or related to any act or omission of a supplier or another third party
iv)Your conduct in connection with the website
v)Your violation of these experiences terms, the terms of service, any law or the rights of any third party.
This agreement shall be construed under the laws of England and Wales and the courts of England and Wales shall have exclusive jurisdiction to deal with any disputes arising between you and us or our suppliers.
21. Changes to these Terms & Conditions
Changes to these terms and conditions can only be made by us and not by any other third-party member. We reserve the right to amend or improve these terms and conditions without prior notification. When required to make necessary changes we will supply a copy to you of these changes and all reservations will abide by the amendments, except for reservations or bookings already made.
